On Saturday and Sunday, May 10–11, 2025, the IEEE Communications Society (ComSoc) Indonesia Chapter successfully organized the Workshop on IEEE Conference Management Best Practice in Semarang, Central Java. This two-day intensive workshop was designed to equip participants with a comprehensive understanding of how to professionally and effectively manage IEEE conferences in accordance with global standards. The event brought together individuals from academic institutions, conference committees, and professional organizations who are actively involved in planning and executing scholarly conferences. Through a structured agenda covering nine critical topics, participants learned about the entire lifecycle of IEEE conference organization. The sessions included an introduction to IEEE conferences, a review of IEEE Indonesia Section rules and policies, the application and publication process, financial and budgeting aspects, the technical program including quality and standards, and the use of various IEEE-approved conference management tools such as CrossCheck, PDF eXpress, and e-Copyright Form (eCF). Furthermore, participants were guided through the process of preparing IEEE Xplore-compliant papers, the technical preparation of conference proceedings, and the management of conference submissions and reviews using the EDAS platform.
The workshop featured two expert speakers from Telkom University: Dr. Muhammad Ary Murti, Chair of IEEE ComSoc Indonesia Chapter, and Muhammad Nasrun, Vice Chair of IEEE ComSoc Indonesia Chapter. Both speakers brought valuable insights and extensive practical experience in managing IEEE-sponsored conferences, which they conveyed through detailed presentations and real-world examples. Their sessions addressed common challenges faced by conference organizers and provided strategic approaches for ensuring compliance with IEEE’s stringent requirements, especially in terms of publication quality, indexing, and copyright management. The limited number of participants allowed for an intimate and interactive learning environment where attendees were encouraged to actively engage and ask questions throughout the sessions.
The workshop concluded on a warm and friendly note with a communal lunch, symbolizing the spirit of collaboration and networking that had been cultivated throughout the event. This closing gesture not only provided a relaxed atmosphere for continued informal discussions, but also reinforced a strong sense of community among IEEE volunteers and professionals dedicated to advancing the standards of academic conference organization in Indonesia. The initiative further affirmed the IEEE ComSoc Indonesia Chapter’s unwavering commitment to promoting best practices and strengthening local capabilities for managing globally recognized conferences.
